Built for Building Maintenance

One system for every property, every asset, and every work order you carry

You cover fourteen buildings for six property managers. A tenant reports a leak in unit 312. A manager emails about a parking lot light. Another texts a photo of a broken door closer. All three arrive in different places, and by Thursday one of them has been forgotten and the manager is asking why. Building maintenance lives or dies on intake and follow-through. North Star is a custom operations system MinnSight builds and runs around your portfolio.

Properties, units, and the equipment inside them

Your customer is not really a person. It is a building, with a manager attached to it, and equipment inside it that you are responsible for. North Star structures around that: the property, its units and common areas, its assets, and the work history of each. The rooftop unit, the boiler, the elevator vendor contact, the water heater in each unit, the door hardware, the exterior lighting. Each asset carries its make, model, install date, warranty status, and every repair anyone has done to it. When a manager asks whether the same pump has failed twice this year, you answer immediately instead of searching invoices. When a building changes management companies, the entire history stays with the building rather than with the person who used to call you.

Work orders that arrive five different ways

Requests come by email, text, phone call, a manager's portal, and occasionally a tenant flagging down your tech in a hallway. Every one of those is a commitment you have made. North Star gives all of them one destination. A request becomes a work order with a property, a unit, a priority, a requester, and a status, whether it started as a voicemail or a forwarded email. Managers can see status on the ones that came from them. Your techs see their assigned list with the access instructions and the asset history. Nothing depends on someone remembering to write it down. The single most common failure in this trade is a request that was received and never entered anywhere, and it is the failure that costs contracts, because to the manager it looks like you ignored them.

Preventive maintenance that stays on the calendar

Preventive work is the profitable, predictable part of the business and the first thing to slip when reactive calls pile up. North Star holds PM schedules against the assets themselves: quarterly filter changes, monthly generator exercise, semiannual belt and coil service, annual backflow testing, fire extinguisher checks, whatever your contracts specify. Tasks generate on schedule, land on the board, and stay visible until completed with a record of what was done. Because the contract terms live in the system, you can show a property manager exactly which of their PM visits happened and when, which is usually the conversation that determines whether they renew. You can also see the coming month's PM load before it arrives and staff for it, rather than discovering in week three that you owe forty visits and have eleven days left.

Billing by property, with the approval limits managers set

Property managers have rules. Anything over $500 needs written approval. Building A bills to one entity and Building B to another. Some want work orders itemized per unit, some want a monthly summary. North Star holds those rules where the billing happens. Work exceeding an approval threshold gets flagged before the tech does it, not after you have already spent four hours on something that will not be paid. Invoices carry the property, the unit, the work order number the manager referenced, and the purchase order if there is one, which is what keeps them from sitting in an accounts payable queue for six weeks. You can see receivables by management company, which is the level where slow payment actually needs to be addressed.

Sound Like Your Operation?

What the manager never hears about

Before

A tenant emails a manager about a failing door closer. The manager forwards it to your general inbox on a Friday afternoon. It sits unread until the following Wednesday, when the manager calls annoyed.

After

Forwarded requests land as work orders with the property, unit, and requester attached. It appears on Friday's board and gets assigned before anyone leaves for the weekend.

Before

The same circulating pump at a 40 unit building fails for the third time in eight months. Nobody connects the three visits, so you keep repairing a $1,900 pump instead of recommending replacement.

After

The asset record shows all three failures with dates and parts. You bring the manager a replacement proposal backed by the history and win a $4,200 job.

Before

Your tech spends five hours on an unexpected roof drain repair at $95 an hour. The management company's limit was $500 without written approval. They pay $500 and you absorb the rest.

After

The job flags at the approval threshold before work starts. The manager approves $875 in writing that morning and the full amount gets billed and paid.

Common Questions

What maintenance companies ask

Yes. The property is the anchor, with units, common areas, assets, managers, and full work history underneath it. Tenants and requesters attach to work orders without becoming separate customers, and the history stays with the building even if the management company changes.
Yes. Each asset carries make, model, serial, install date, warranty, and every service visit performed on it. That record is what lets you show a manager a repair pattern and make a replacement case with evidence instead of opinion.
Yes. PM tasks generate against assets on whatever cycle your contract specifies, from monthly to annual. Completed visits are recorded with what was performed, and outstanding tasks stay visible so contract obligations do not slip during a busy reactive month.
Approval thresholds, purchase order requirements, and billing entities are stored per management company or per property. Work that would exceed a limit is flagged before it is performed, and invoices carry the reference numbers the manager's accounts payable process needs.
On-call rotation and emergency intake run inside the same system, so a 2am water intrusion becomes a real work order tied to the right property. Adding the answering service puts a live person on the call and the job on your board by morning.
