Knowledge Management

Stop being the person everyone has to ask.

Nobody reads the handbook. They ask you instead. So put it somewhere they can talk to, the same way they talk to the web.

Everything your team needs to know lives in one place they can actually search. They ask a question in plain English and get the answer out of your own files, in seconds, without interrupting you.

Works with the Google Workspace or Microsoft 365 you already pay for. No new software.

How it works

Three steps, and you already own the tools.

  1. 1
Put it somewhere the business owns

Not somebody’s personal drive. When that person leaves, the access leaves with them. We set up folder-level permissions so the right people see the right things.

  2. 2
Organize by department, and clear out the old copies

Nobody has ever gone looking for "the PDFs". Four versions of one policy is worse than none, so the cleanup happens before the organizing, not after.

  3. 3
    Turn on the asking

Your team asks a question and gets an answer pulled from your own documents, with the file it came from. No hunting through a shared drive hoping a file was named sensibly.

The part nobody expects

The most useful thing you get is the list of what it cannot answer.

Once everything is searchable, the holes show up. Someone asks what happens when a customer reschedules twice, and there is nothing there. Not because you forgot to write it, but because nobody ever decided.

That gap was always there. Somebody was quietly covering it every time with their best guess, and a different guess each time.

When the answer is not in there, these fill it in.

Two ways to get there

Do it yourself, or hand it over.

The guide

The whole thing written down, step by step, including the parts most people get wrong. It is free and there is nothing attached to it.

  • Folder structure by department
  • Permissions and the compliance question
  • The build guide for the team portal
We set it up

Two ways in. If your Drive is broadly in order, we organize it and hand it over. If it is not, the cleanup is the part everyone stalls on, and it is what we are most often hired to do first.

Setup
$299one time

Your Drive as it stands, organized and deployed. No cleanup.

  • Folders, owners and permissions set
  • The portal your team opens every morning
  • Deployed and configured on the Drive you already have
Setup and cleanup
$750one time

Everything in Setup, plus the part that actually takes the hours.

  • Everything in Setup
  • Old versions cleared out, one department at a time

Either one credits in full against a North Star build later, so if this turns into a system you have not paid twice. No monthly fee on either. See what a build costs.

Start with the free audit

There are no sales calls. We email you a plan within a day.

The question everybody asks

Where your documents go, who can read them, and what happens if you handle anything regulated.

Nowhere. That is the short answer, and it is the reason we set this up inside the accounts you already own rather than moving anything onto our servers. Your files never leave the Google Workspace or Microsoft 365 you already pay for. We do not copy them, host them or move them.

We set up the folders and the permissions and hand you the keys. If you would rather we never had access at all, we will walk you through it instead.

No. Answers respect the permissions you already set, so nobody can ask their way into a folder they could not already open. Someone at the front desk will not get an answer out of an HR file.

There is a compliance step before any of this, and it is not optional. We will tell you exactly what it is before you spend anything.

Where this tends to break

You can do all of this yourself, for free, and for a five person shop that may be all you ever need. Here is what to watch for.

Contradictions get answered confidently

It does not know which of two conflicting policies is current. It will answer from both.

Nothing proves anyone read it

A folder of perfect procedures is not the same as a team that follows them. That is what the forms are for.

Owners drift

The person who owned Billing changes roles, and nobody notices the folder stopped being maintained until something goes wrong.

The first fill is the hard part

Not the folders, the writing. Almost every project that stalls, stalls here, with the structure built and the folders empty.

Start with the folder that interrupts you most.

Just one. Fill it, badly is fine, and only build the second once someone has used the first.
