Meanwhile the estimates you wrote in March are still sitting unanswered, the crack fill order needs to go in, and a property manager wants a striping quote for a lot you measured last year. Five months of production, and the plan behind them
Most sealcoating companies do their annual revenue between May and October, which means every lost week costs more than it would in any other trade. North Star shows the season as a whole: what is sold, what is scheduled, what is still open, and how many production days remain. You can see in June whether you have enough sold work to fill August, which is when there is still time to do something about it. Jobs carry their square footage and estimated crew hours, so a week on the board is a real workload rather than a count of appointments. Commercial lots that must be done overnight or on a weekend get placed where they fit. When you know your capacity in square feet per week, you can stop overselling June and underselling September.
Estimating by the square foot, not by feel
A residential driveway, a church lot, and an apartment complex are the same work at wildly different scales, and the pricing has to reflect measurement rather than instinct. North Star holds your estimating structure: square footage, sealer coverage rate, crack fill by linear foot, oil spot primer, patching, striping by stall and by line footage, and mobilization. An estimate builds from the measurements instead of from a guess, and every estimate stays on file with the measurements attached. When the same lot comes back around in three years, you are not remeasuring from scratch. Because material quantities come out of the estimate, your ordering is based on the work you have actually sold. Buying 55 gallons more sealer than a job needs is a cost that hides easily and repeats all season.
Rain days and the reschedule that follows
A wet forecast does not just cancel one day. It pushes a crew's whole week, and the customers who were on Tuesday now have to fit somewhere that is already full. Doing that by phone burns an entire morning. North Star gives you the board and the ability to move a day's worth of jobs at once, with each customer's contact information right there and the new date reflected on the crew's schedule. Jobs that are weather sensitive can be flagged so the office knows which ones truly cannot be squeezed in. Because the whole season is visible, you can see where the pushed work actually lands rather than stacking it onto an already impossible Friday. Over a summer with eight or nine rain days, this is the difference between finishing your book and carrying work into a season that has already closed.
The three year cycle and the customers already in it
Sealcoating is repeat work on a predictable interval. A driveway sealed in 2023 is due about now. A commercial lot on a two year cycle is due sooner. Most companies in this trade rebuild their customer list every spring from scratch, which is an enormous amount of unnecessary marketing spend. North Star keeps every property you have sealed with the date, the square footage, the price, and the condition notes. Customers coming due generate a list you can quote in March, before the phones start ringing. Sending 180 past customers a renewal estimate at an average of $410 is a very different start to a season than waiting for calls. Commercial accounts, HOAs, and property managers can be tracked with their own cycles and their own approval processes.
What a short season does to a schedule
Rain moves in Tuesday and Wednesday. Your office spends the better part of a morning calling nineteen customers to reschedule, and two of them never get reached and are waiting in their driveway Thursday.
Both days move on the board in a few minutes. Every affected customer gets the new date, and the crew's schedule updates without anyone reading a list over the phone.
An apartment complex asks for a quote on a lot you sealed three years ago. Nobody kept the measurements, so a crew leader spends two hours remeasuring 46,000 square feet before you can price it.
The prior job holds the measurements, the coverage used, and the condition notes. You produce a current-price quote the same afternoon without sending anyone out.
By late August you realize the schedule is thin for September, but there is no time left to generate work. The season closes with two crews idle for three weeks.
