In a care or education setting the difficult conversation carries a second weight: it may end up written down, and somebody outside the building may read it later.

What goes wrong in a setting like yours
Someone cutting a corner on a protocol because they are covering two rooms and genuinely believes it is fine. A colleague who dismissed a family’s complaint as fussing, in a tone the family noticed. Two staff whose disagreement about a resident or a child has stopped being professional.
A member of staff who is plainly burned out and has started snapping at the people least able to complain about it. Cover and ratios, which turn every absence into somebody else’s much harder day.
These conversations are harder than their equivalents elsewhere because the stakes are not just workplace stakes. Getting one wrong can affect somebody in your care, and everyone in the room knows it.
Practicing the conversation before it becomes a record
You pick the situation and speak it aloud. The agent plays the other person with the defensiveness these conversations genuinely produce, particularly when somebody feels their competence or their care is being questioned.
It will not let you get away with the two failure modes this sector produces most: being so gentle that nothing is actually said, or leading so hard with the protocol that the person stops listening and starts defending.
What you are scored on
Whether you described the specific behavior and its effect rather than making a judgement about the person. Whether you got underneath the position to the reason. Whether you ended with something concrete, dated, and fair enough to stand behind if it is ever read back to you.
That last one matters more here than anywhere else, which is why the feedback weighs it heavily.
